CONTRACT

2024 Exhibitor
For those exhibitors who will be joining us for the 2024 DFMC Annual Meeting, please refer to the following details. The Diocesan Fiscal Management Conference (DFMC) Annual Meeting will be held September 29-October 2nd at the Hilton San Diego Bayfront, San Diego, California, with exhibition hours Monday and Tuesday. We welcome you as an important collaborator in our ministry to the Church!

Honoring Returning Exhibitor Partners/Approved Sponsors And Priority
Last year's returning Exhibitor Partners will receive "full protection" on paid renewals received by the DFMC National Office beginning Monday, March 4th until COB on Wednesday, March 6th with new exhibitors being accommodated thereafter.

"Full protection" guarantees a booth, but not the specific booth type. Platinum and Gold booths are first come, first served. 2023 Platinum Sponsors are not eligible for a Platinum Booth in 2024. A concerted effort is made to place booth assignments (a) with spacing between similar exhibitors, where possible; and (b) using total sponsorship levels when multiple exhibitors request the same booth assignments.

Platinum Booth Sponsors
In order to provide variety for DFMC members, 2023 Platinum sponsors are ineligible to sponsor at the Platinum level in 2024.

Official DFMC Exhibition/Events Exclusivity
To promote and facilitate the opportunity for Members to visit EACH of our Exhibitors’ Booths, NO alternative events may be scheduled or sponsored during Exhibition hours or any other scheduled Conference program element, including liturgies.

Exhibitor Fee

  • The non-refundable exhibitor fee of $4,900 for Standard Level participation, $9,900 for Gold Level participation, and $18,000 for Platinum Level participation is payable at signing and submission of contract.
  • Since booths are distributed on a first come, first served basis (with returning exhibitors afforded exclusive early access to reserve), we encourage exhibitors to pay by credit card. If you must pay by check, please make your check payable to Diocesan Fiscal Management Conference. Booth reservations are non-refundable. Payments by credit card will be charged a 2.9% credit card processing fee.

Acknowledgment is made hereby of the receipt of the Sponsorship Brochure, which is incorporated with this contract as the governing directives for the show. All booths will be placed and numbered according to the diagram prepared by the official show director. DFMC reserves the right to approve exhibitors to be invited. For exhibit presentations highly reliant on internet access, reserving a wired internet connection is highly recommended.

It is the exhibitor’s responsibility to reserve a preferred booth in a timely manner when booths go on sale. Ample notice is provided so that organizations can plan appropriately to execute their plans as soon as exhibit booths become available. Exceptions cannot be made due to booths or booth type selling out and becoming unavailable. Efforts are made to place exhibitors at or near their preferred booth number, but accommodation cannot be guaranteed and final decision on placement is vested in the show planning staff.

CODE OF CONDUCT

By attending the DFMC Conference, all participants including representatives of sponsoring/exhibiting organizations agree to personal conduct of the highest caliber. DFMC is both a Catholic conference and a professional association meeting, so the behavior of all involved should reflect both professional decorum and that of a Christian gentlemen or gentlelady. There will be zero tolerance for verbal harassment, bullying, or attempts to intimidate. All DFMC Conference rules, policies and instructions must be observed, along with hotel policies and applicable law. If DFMC officials receive reports that a participant has failed to abide by this code of conduct, then the DFMC may take whatever actions it deems appropriate, including, for example, expulsion from the conference without refund, notification of the offending person’s superiors, and disqualification from attending future events. Any questions regarding the Code of Conduct should be directed to the Executive Director.

EXHIBITION HALL

Exhibit Hall Hours
Monday September 30th: 1:00 p.m. - 6:30 p.m.
Tuesday October 1st: 7:00 a.m. - 2:00 p.m.

Exhibit Set-up & Break-down
Exhibits may be installed on Monday, September 30 between 7:00 a.m. and 12:45 p.m. to be complete and in place for the 1:00 p.m. opening of the Exhibition Hall. To facilitate the optimal Exhibition Hall environment, break-down of exhibits may not take place before 2:15 p.m. on Tuesday, October 1.

Exhibit Hall Service Kit
A one-on-one communication to assist in preparing the exhibitor for the conference will be provided to you by Alliance Nationwide Exposition. Exhibitors will provide to DFMC the name/s of those to receive an invitation to log in to the service kit.

Displays
Each exhibitor will be provided with a booth (10’ wide by 10’ deep) consisting of 8’ high back drape, 3’ high side rails, and including one draped table, 2 chairs, 1 wastebasket, and a 7” x 44” identification sign. All demonstrations and displays, distribution of literature, samples, or other promotional materials must be confined to the exhibitor’s purchased exhibit space.

“Sharing” of Exhibit Space
One organization per booth. Combining or “sharing” of booth is not allowed.

Use Of Space
While the DFMC will make every effort to provide space as it is laid out by the official show director, the DFMC reserves the right to change booth locations or the physical space layout due to unforeseen circumstances.

  • Audio presentations of any kind must be sufficiently subdued as not to annoy or disturb adjacent exhibitors or their patrons.
  • Aisles, as designated on the exhibit floor plan, must be kept clean, clear, free of obstruction, or blocking neighboring booths.
  • Easel stands and signs must not be placed beyond the booth area.
  • Gifts and/or door prizes are permitted and encouraged at the display.
    • Any prize drawings are to be held during the lunch break with members on Tuesday, October 1 from 1:30 p.m. to 2:00 p.m. (See Raffle Drawing)

Company Publications
All materials distributed within the exhibit booths must represent the services provided by the registered exhibit firm only. Representation of and distribution of materials by or for affiliated firms is not allowed.

ATTENDING THE CONFERENCE

The Exhibit Hall is open exclusively to exhibiting partners (within the limits set forth below) and DFMC member participants only.

Exhibit Representatives
Each exhibiting firm will be allowed to register up to four (4) representatives who may be present in the booth during exhibit hours and will be responsible for the installation, operation, and removal of the exhibit. *Platinum and Gold Exhibitors may have an additional representative at no cost if they choose.

  • Up to two (2) additional representatives may be registered at $250 each. 
  • Exhibit representatives must wear the official DFMC exhibitor badge while in the exhibit hall and throughout the DFMC Conference. 

Registration - Exhibitor Badge And Conference Packets
The exhibitor’s packet, including badges and other conference materials, may be picked up at the Registration Desk starting Monday, September 30 at 7:00 a.m. Each representative must pick up their own badge. Please note that your company personnel working in the booth cannot enter the exhibit area without the official DFMC conference badge.

Attendance Outside The Exhibit Hall
The DFMC Conference is a professional association Membership Meeting and conference sessions, meals, beverage breaks, etc. are open to DFMC Conference Members only.

Exceptions: (Representatives must wear their badge at all times.)

  1. Representatives of exhibitors or sponsors whose total sponsorship exceeds $10,000 may attend General Sessions of the Conference only.
  2. Representatives of exhibitors sponsoring an event within the Conference Program are asked to attend their sponsored function or session.
  3. New -Starting in 2024, each exhibit/sponsor organization may purchase no more than two (2) tickets to lunch on Tuesday, October 1st for use by up to two representatives.
    • Representatives must have a ticket to be admitted to the October 1st lunch. 
    • October 1st Lunch tickets are $95 each, and must be purchased no later than Friday, August 30th. 
    • Tuesday Lunch tickets will not be available for sale under any circumstances in September or on-site at the conference in San Diego. 
  4. Representatives are invited and strongly encouraged to attend Catholic liturgies, sacramental offerings, and visit the Adoration Chapel during the annual meeting.

Photos and Videos
Conference registration provides DFMC with the authorization to use photos and videos of all registered groups and/or individuals for promotional purposes.

Raffle (Optional)
On Tuesday, October 1st , 1:30 p.m. towards the end of the lunch session, there will be a raffle of prizes offered by exhibit firms.  You will be asked to complete a form describing your raffle prize and return it to the registration desk no later than 10:00 a.m. on Tuesday, October 1st.  Names of raffle prize recipients will be drawn by a DFMC Board member from DFMC member registrations; and not from business cards collected at your booth.  If the winner is not present to pick up their prize, he or she will pick it up at the registration desk.  Raffle participants will be recognized in the Fall Herald Newsletter.
